We are seeking a highly capable and proactive Executive Administrative Partner to support the senior leadership of our Consumer Products Group (CPG) organization. This is far more than a traditional administrative role. You will enable executives to operate at their highest comparative advantage by proactively managing time, information, priorities, and interactions—anticipating needs, understanding intent, and driving outcomes rather than simply executing tasks. The successful candidate brings strong judgment, discretion, and organizational skills, a natural bias toward anticipation and follow-through, and a genuine passion for continuous improvement and new technologies, including AI.
What You Will Do
Optimize Executive Time & Priorities
- Develop a deep understanding of executive priorities, goals, and key deliverables—not just calendar events—and curate calendars to reflect true priorities rather than inbound requests.
- Anticipate trade-offs and recommend changes that optimize executive time against value, actively protecting focus and preparation time for key commitments such as board meetings.
- Ensure executives enter every meeting prepared with the right materials, context, and intended outcomes in mind.
Manage Information Flow & Follow-Through
- Filter, prioritize, and elevate communications based on importance and urgency, serving as a primary source of situational awareness for the executives you support.
- Track key discussions, decisions, and commitments across meetings and emails, and follow up proactively on action items without waiting for direction.
Anticipate Needs & Operate with Intent
- Seek to understand the context, intent, and desired outcomes behind requests, and act accordingly—offering recommendations and solutions rather than waiting for instructions.
- Anticipate needs before they are explicitly stated, and identify risks, gaps, or inefficiencies and address them proactively.
- Adjust your approach based on executive preferences and business context to reduce rework and the need for detailed direction.
Enable High-Impact Meetings & Operating Rhythm
- Ensure leadership team meetings have clear purpose, agendas, and desired outcomes – recommending changes to – or elimination of – low-value or redundant topics.
- Coordinate pre-reads, materials, and stakeholder attendance in advance.
- Coordinate & Partner Across the Organization
- Build strong relationships across stakeholders, represent executives professionally and with sound judgment, and maintain strict confidentiality and discretion at all times.
- Manage scheduling, room booking, catering, and travel for executives, as well as planning and coordination of complex and large-scale events (e.g. offsites, townhalls, team events).
- Complete executive expense reports accurately and on time, and continuously identify opportunities to improve processes, communication, and workflows.
- Own and maintain finance team collaboration infrastructure—including SharePoint sites and email distribution lists—keeping the team informed, connected, and up to date.
- Coordinate workspace, facilities, and floor logistics, partnering with facilities and safety stakeholders to anticipate issues and execute office moves and changes smoothly.
Champion AI & New Ways of Working
- Build personal expertise in AI-enabled tools and identify practical, repeatable opportunities to reduce manual work and improve the speed and quality of deliverables.
- Share tips and best practices with executives and serve as a first point of contact for basic AI questions.
Who You Are (Basic Qualifications)
- Experience providing administrative support to senior leaders or executives.
- Demonstrated ability to manage complex calendars, travel, and expense reporting with a high degree of accuracy and discretion.
- Strong written and verbal communication skills, with the ability to interact professionally with stakeholders at all levels.
- Proficiency with Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint, and SharePoint).
- Demonstrated use of AI tools to improve productivity, and a willingness to champion adoption across a team.
- Proven organizational and problem-solving skills, with the ability to anticipate needs, prioritize, and follow through with minimal direction.
- A track record of handling confidential information with sound judgment and integrity.
What Will Put You Ahead

- Experience coordinating across cross-functional teams.
- Associate’s or Bachelor’s degree, or equivalent experience.
