Molex is seeking a highly organized and detail-oriented Administrative Assistant to provide administrative and operational support to the Global Signal Integrity Leadership team. This role is critical in ensuring smooth day-to-day operations by managing administrative processes, coordinating logistics, supporting reporting activities, and facilitating collaboration across global engineering teams.
Our Team
You will be part of the Global Signal Integrity organization, supporting engineering leaders and teams located across multiple regions. The team develops advanced high-speed connectivity solutions used in automotive, data center, and networking applications. As an Administrative Assistant, you will play a key role in enabling operational efficiency, supporting resource management, coordinating travel and procurement activities, and ensuring seamless communication across global teams.
What You Will Do
Administrative Operations
- Manage and process managers' expense reports in accordance with company policies.
- Support consultant and third-party payment processing and tracking.
- Monitor and track package shipments, deliveries, and receipts.
- Maintain engineer vacation records and out-of-office schedules.
- Coordinate onboarding logistics and office-related administrative activities.
Reporting & Analytics
- Generate and maintain engineering hours reports and related analysis.
- Track team utilization, vacation schedules, and resource availability.
- Prepare reports, presentations, and dashboards for leadership reviews.
Procurement & Asset Management
- Order office supplies and maintain inventory levels.
- Coordinate procurement of laptops, monitors, computer equipment, and other business tools.
- Manage software, tool, and service subscriptions, including renewals, cancellations, and compliance tracking.
Travel & Logistics Coordination
- Arrange domestic and international travel, including flights, accommodation, transportation, and visa support.
- Optimize travel schedules while balancing cost, business needs, and traveler preferences.
- Support travel-related documentation and expense reconciliation.
Collaboration & Communication
- Coordinate meetings and support virtual collaboration across global teams.
- Maintain and organize documentation within SharePoint and other business systems.
- Support leadership communications and administrative processes as needed.
Who You Are (Required Qualifications)
- Minimum 1+ years of experience in an Administrative Assistant, Executive Assistant, Coordinator, or similar support role.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook), Microsoft Teams, and SharePoint.
- Experience supporting multiple stakeholders and managing competing priorities.
- Strong organizational, planning, and time-management skills.
- Excellent verbal and written communication skills.
- Strong attention to detail and problem-solving ability.
- Experience working with global and remote teams.
- Ability to handle confidential information with professionalism and discretion.
- Ability to work independently in a fast-paced environment.
What Will Put You Ahead
- Experience supporting engineering, technical, or global leadership teams.
- Strong Excel skills including reporting, data analysis, and dashboard preparation.
- Experience managing travel arrangements for international teams.
- Familiarity with procurement, vendor management, and subscription tracking.
- Experience working with SAP or other business systems.
- Demonstrated ability to improve administrative processes and operational efficiency.
- Experience coordinating activities across multiple time zones and regions.
